AGENT BACKGROUND AND TRAINING: We have found that it is much easier to train a hotel professional to function in a call center environment than to teach a call center professional what they need to know about hotels to perform. Because of this, we concentrate all of our hiring efforts to find the best and brightest hotel professionals to answer your calls. All of our agents must have experience in hotels and hospitality service prior to being considered for a position with our company. In fact, many of our current agents are actually recommended to us by our client hotels, enabling the hotel to reduce overhead while also retaining knowledgeable, experienced staff to answer their incoming reservation requests.

Our commitment to staff training is second to none in the industry. All of our new agents undergo a minimum of 20 hours of Signature® Sales training and 20 hours of property training prior to ever answering a phone call for a client. Additionally, each agent undergoes a minimum of 8 hours of refresher training every month to ensure they continue to provide the exceptional level of service that differentiates us in the industry.

100% CUSTOM FULFILLMENT METHOD: Other outside reservations companies require you to purchase additional software or only book reservations on consignment, adding to your labor costs and reducing their ability to achieve the best rate or sell the last available room at your hotel. It also prohibits the outside reservations company from providing the reservations support that is needed from a fully operational reservations department. At Travel Outlook, we do things a little differently.

We recognize that in order to perform up to your high standards, it is important for our team to have all the same resources available to us that you do in-house. As such, we custom design the ideal method of fulfillment specifically for your hotel’s needs.

Often this includes a remote terminal service connection via our proprietary, PCI-compliant VPN dashboard, which allows our agents to remotely access your own onsite property management system and gain access to your real-time inventory and your up-to-the-minute rates. It also allows us to fulfill most if not all of your standard reservation requests, such as cancellations, reservations changes, and confirmation delivery, and all of these tasks are  included in our fee.

In some instances we find that a less intrusive and technical solution (such as booking through your existing web booking engine or current GDS provider) better serves your needs. Our Director of Operations and Technology will work directly with your own staff or IT provider to determine the best method of fulfillment for your unique situation.

PERFORMANCE ONLY OR PRICE MATCH BILLING OPTIONS: Our most popular billing method is to charge the hotel only on consumed rooms for reservations we book, similar to how a travel agent is paid. For example, if we book a reservation for you in May for a guest coming to your hotel in July, we won't charge you for that reservation until the guest stays with you and checks out. Our commission is payable on actual room revenue you collect from the guest. If the guest cancels his or her reservation, you don’t pay us anything. There are no per-minute charges and no per transaction fees for our service; you only pay us on actual room revenue you have received from that guest.

The amount we charge is based upon the number of qualified reservations calls you send us. The more calls you send us, the lower the commission rate. For reservations that are commissionable to other sources (such as group or travel agent reservations), we provide a 50% discount on our commission.

There are no additional charges at all. You can probably see why this is the most popular billing method, because the costs are 100% variable and rise and fall with your own seasonality. You always know the amount that you are paying corresponds to actual room revenue for your hotel, and you will receive all additional services at no additional charge.

But we recognize that our unique billing method may not be the choice of everyone. So we also offer a Price Match Guarantee. For those clients currently using one of our competitors, Travel Outlook will offer to meet or beat any standing contract you have, and we will customize our billing to you to reflect the same cost structure of that offered by one of our authorized competitors. And we will still offer our unique, industry-leading guarantee to meet or beat both the rate and occupancy performance of anyone of our competitors.
